Executive Assistant – Investment Banking

Hong Kong

As a Barclays Executive Assistant, you will provide full secretarial assistance in Investment Banking. You will schedule and coordinate meetings and events and help maintain busy appointment calendars. You will be arranging and coordinating travel schedules and reservations. You will be accountable for answering, screening, and routing telephone calls and responding to inquiries from internal and external clients and liaising with senior level individuals throughout the firm.

What will you be doing?

  • Offering full secretarial assistance to a range of senior bankers as well as junior bankers
  • Providing extensive diary management and coordination across the population
  • Organizing meetings and assisting with agenda
  • Assisting bankers track and follow through on client meeting and logging CRM info
  • Organizing domestic and international travel arrangements, cabs and visas for business trips
  • Liaising with other regions to arrange inter-office visits including security access, desk allocation, PC login, staff/client meetings, and remind bankers of cross-border registration
  • Coordinating and maintaining holiday schedule for the team to ensure no operational outages

What we’re looking for:

  • Experience working as a Personal Assistant/Secretary within a banking environment
  • Team player, ability to work with others, confident
  • Pro-active, focused hard worker, willing to “go the extra mile”
  • Highly organized and excellent attention to detail

Skills that will help you in the role:

  • Extensive experience with MS Office packages particularly PowerPoint & Excel and advanced knowledge of Outlook
  • Ability to work under pressure and to tight deadlines
  • Ability to deal comfortably with all levels of management within the organization

Our offices are situated in the center of Hong Kong’s financial district, at 2 Queen’s Road. Cheung Kong Centre is an investment banking hub that offers panoramic views of Victoria Harbour and Kowloon Peninsula. There is a variety of local amenities and you will be just a short walk from shopping malls, health clubs and multiple transport links.
